A good in-store announcement informs without annoying, drives sales and carries the voice of your brand. A bad one is noise that interrupts the music and gets ignored. This guide covers the rules of effective announcements and gives you example scripts you can use straight away.
Six rules for effective announcements
- Keep it short: 10–20 seconds is ideal. Customers listen while walking; long messages get lost.
- One message at a time: one promotion or one direction per announcement, never three in one.
- Ask for an action: include a clear call such as “please proceed to the tills” or “visit our new aisle”.
- Time it right: closing announcements 15 minutes before closing, promotions during busy hours.
- Balance the frequency: the same message after every song gets tiresome; space it out between tracks.
- Keep your brand’s tone: a luxury boutique and a supermarket do not speak the same way.
Example scripts

Tills
“New tills are now open. For faster checkout, please proceed to tills 3 and 4.”

“Don’t forget to show your loyalty card at the till and earn an extra discount today.”
Closing
“Dear guests, our store will close in 15 minutes. Please make your way to the tills to complete your purchases.”
HYDW
Play these announcements with one tap
Assign your ready-made announcements to the nine Quick Start keys on HYDW Music Player; staff press a key, the announcement plays and the music resumes. For instant messages, type the text and text-to-speech plays it in seconds.
Scheduled or instant?
Announcements work in two ways:
- Scheduled: promotional announcements start with the campaign playlist on the day and disappear when it ends, at every location at once, without anyone having to remember.
- Instant: for busy tills, lost property or closing time, use the Quick Start keys or text-to-speech.
Sound quality is your brand’s voice
An echoing announcement recorded on a phone weakens even the best script. We have produced voice-overs since 2011: we record your announcements with professional voice artists and add them straight to your programme and Quick Start keys.
Frequently asked questions
How long should an announcement be?
Usually 10–20 seconds. Short announcements with one message and a clear call to action are remembered best.
Who should voice announcements?
A professional voice keeps brand announcements consistent; text-to-speech is a quick option for instant notices.
Can each location have its own announcements?
In HYDW, Quick Start keys are set brand-wide and can be changed per store, and scheduled announcements can be assigned by region or store.
